Where to apply for an Erasmus+ internship?

You can apply for an Erasmus+ internship in the International Office. Universities receive funds for student mobilities and independently conduct recruitment and evaluation of candidates, helping to complete the formalities needed to receive the Erasmus+ grant.

What countries can you go to?

As an Erasmus+ scholarship holder, you can go on an internship to the following countries – Austria, Belgium, Bulgaria, Cyprus, Czech Republic, Croatia, Denmark, Estonia, Finland, France, Germany, Greece, Hungary, Ireland, Italy, Latvia, Lithuania, Luxembourg, Malta, Netherlands, Portugal, Romania, Slovakia, Slovenia, Spain, Sweden, Iceland, Liechtenstein, Norway and additionally: Turkey, Republic of North Macedonia, Serbia.

What institutions can you go to for an internship?

Students search for an internship site on their own or use contacts offered by WSPA. Students do their internship in foreign companies or institutions that have expressed their willingness to accept students for an internship under Erasmus+ program. Foreign internships can take place in companies/enterprises, scientific and research institutions, non-profit organizations and other institutions (museums, libraries, hospitals, etc.).

Internships abroad cannot take place in:

  • EU institutions
  • institutions responsible for managing EU programs
  • Polish diplomatic missions abroad

How long can you leave for?

For a period of 2 to 12 months within the entire period of bachelor’s/engineering studies (depending on the budget level). In case of continuation of studies (master’s degree), the student has again 12 months to use within the framework of Erasmus+ program. A single internship usually lasts about 2-3 months – students can go several times, e.g. choosing different companies/countries, etc. to broaden their qualifications. If there are spare funds, it is possible to extend the duration of the internship abroad.

IMPORTANT NOTICE!

The pool of 12 months includes all months spent abroad as part of Erasmus+, internships, studies, regardless of the university from which the person is leaving! If you are studying at 2 universities at the same time, the limit remains the same (12 months during the entire period of study at a given level) – the length does not increase for more universities. The rule is fixed – up to 12 months during undergraduate studies and again up to 12 months during graduate studies.

What documents are required before leaving for an Erasmus+ internship?

  1. Application form
  2. Learning Agreement for Traineeship – completed, signed and stamped by the receiving company
  3. Erasmus+ grant agreement
  4. Completed online language test
  5. Insurance (health, accident and Third Party Liability insurances), while students with Polish citizenship are also obliged to have EHIC (free card issued by the National Health Fund) Important! The EHIC card is valid only in the European Union countries and covers only part of the benefits related to medical treatment. Detailed information can be found on the National Health Fund website. Each student should check what type of insurance is required by the company where the internship will be carried out.
  6. Signed statement of familiarization with the rules, responsibilities and rights of the student participating in the Erasmus+ program.

Will the internship period abroad be credited by the home university?

The basis for the student to receive credit for the internship is a written certificate from the host institution confirming the duration of the student’s stay at the internship and the fulfillment of the internship program assumptions with its evaluation, issued by the internship supervisor at the host institution. The final decision is made by the person responsible for internships’ approval. Student should contact with Career Planning Center after receiving Learning Agreement filled by the host institution in order to confirm the possibility of having this internship approved as mandatory one. In order for an internship to be counted as such, its subject matter should coincide with the student’s field of study and should meet the conditions specified for mandatory internships. The University guarantees that after meeting the requirements the student will receive credit for the internship completed at the host institution and it will be recognized as equivalent to the internship completed in the country, provided that it is an integral part of the study program at the home institution and is consistent with the program that the student would follow in Poland during the mandatory internship. Otherwise, the foreign practice is treated as an additional practice.

How much is the scholarship?

Countries participating in the Erasmus+ program are divided into three groups depending on the cost of living. The monthly scholarship rate for each group:

  1. Austria, Belgium, Denmark, Finland, France, Ireland, Island, Liechtenstein, Luxemburg, Netherlands, Germany, Norway, Sweden, Italy – 820 EUR per full month
  2. Cyprus, Czech Republic, Estonia, Greece, Spain, Latvia, Malta, Portugal, Slovakia, Slovenia – 820 EUR per full month
  3. Bulgaria, Croatia, Lithuania, Northern Macedonia, Romania, Serbia, Turkey, Hungary – 750 EUR per full month

Exact amount of scholarship is calculated by the Beneficiary Module system. The system calculates it per day of the physical mobility plus 2 days for travel plus additional amount as contribution in travel costs. The amount of the later depends on the distance from Lublin to the city of internship, calculated by the distance calculator tool: https://erasmus-plus.ec.europa.eu/resources-and-tools/distance-calculator). The contribution is in the amount of 28EUR (from 10 to 99km), 211EUR (from 100 to 499km), 309EUR (from 500 to 1999km), 395EUR (from 2000 to 2999km). Those students who decide to travel by low emission vehicles such as bus/coach, train or car-pooling may apply for higher contribution to travel costs, so called “green travel”, in amount of (accordingly): 56 EUR, 285EUR, 417EUR, 535EUR. In order to receive a grant from the Erasmus+ program, the student is required to open a bank account maintained in EUR and maintain it, at least until the mobility is fully settled. Operational costs associated with the transfer of funds to the personal account indicated by the student are borne by WSPA. Payment of the scholarship in the form of a bank transfer is made in two installments. The first installment is paid up to one week before the planned date of departure for practice abroad (the amount of the first installment is 80% of the total scholarship awarded), the second installment is paid after the student has fully accounted for the trip abroad (both formally and substantively). If the stay is shortened in relation to the length of the internship abroad planned in the grant agreement, the scholarship is reduced by the amount automatically calculated by the system based on the number of days not completed in accordance with the agreement. If the internship is extended (the desire of extension should be reported at least one month before the planned end of the existing internship, in order for WSPA to confirm that it has free funds), the final scholarship amount is increased. The basis for determining the exact amount of the second installment is the confirmation of the length of stay issued by the company after the end of the internship.

What is the recruitment and qualification of students for Erasmus+?

Recruitment of students for the Erasmus+ program is carried out on a continuous basis, throughout the year, until funds are exhausted. Recruitment of students for the Erasmus+ program for internships is based on an application form filled out by the student, and later on Learning Agreement filled out, signed and stamped by host institution. The documents should be submitted physically or by mail to the International Office.

The qualification procedure is carried out by the University Qualification Committee, consisting of:

  • Head of International Office
  • Erasmus+ Departmental Coordinator
  • Dean of particular faculty (valid for mobilities conducted during semester)

The student has the right to appeal the decision to the University Coordinator of the Erasmus+ Program at WSPA, within 14 days of the announcement of the results.
